Privacy, your data, and account deletion

Profiled asks you for unusually candid material — why you left roles, where you’re weak, what you’d do differently. This guide states plainly what happens to it: who sees what, what the AI is given, how to get your data out, and how to delete your account.

Who sees what

Everything in the builder is one of two kinds:

  • Public — your name, title, photo, elevator pitch and narrative, the public half of each role, your Skills and Gaps columns, and your FAQ. This is what renders on your public page.
  • Private — the eleven per-role reflection fields, skill honest-notes, the entire Values tab, and your AI Instructions. Marked in the product with a banner: "Private — never shown to visitors, and never given to your profile’s visitor chat at all. This context powers your Honest Fit Assessment."

That banner is literal:

  • The visitor chat receives no private context. Not a filtered version — none. It answers from your public content only, so it cannot reveal what it was never given.
  • Private context reaches exactly one feature: the Honest Fit Assessment. There it grounds the verdict, and the AI is instructed to synthesise rather than quote; an automated safeguard checks the finished assessment against your private phrasing. Profiled is honest about the boundary: it does not guarantee with absolute certainty that fragments never appear.
  • The public fit-vocabulary page (profiled.careers/fit-vocabulary) lists every conclusion the fit assessment is able to reach — a fixed vocabulary, not free-form judgement — and is deliberately not Pro-gated.

What the AI providers get

  • Anthropic (Claude) powers the text AI — profile conversations, fit assessments, résumé extraction, the support assistant. OpenAI powers voice and the embeddings behind search.
  • No model training. Providers process your data under agreements that prohibit using it to train their models, and every optional data-sharing setting on Profiled’s provider accounts is disabled.
  • No automated decisions with legal or similar effects. Fit assessments are decision support; the Terms prohibit recruiters from rejecting solely on a fit score or filtering on protected attributes.

What is and isn’t stored

  • Your résumé file is not stored. It’s parsed in memory to build your profile and then discarded; only a technical fingerprint and the filename are kept in the security log.
  • Card details never touch Profiled’s servers — payment is collected by Stripe on Stripe-hosted pages.
  • Voice: audio streams directly from your browser to the voice provider and is never stored on Profiled’s servers. No voiceprints, no voice identification, no emotion inference. Transcripts are kept 12 months — and you can delete them any time from Settings → Data, individually or all at once.
  • Cookies: only essential sign-in cookies. No advertising cookies, no third-party analytics cookies; Profiled’s own analytics are cookieless. Profiled does not sell personal information.

Retention, in brief: voice transcripts 12 months · visitor chat content 12 months after the session · a fit assessment’s submitted job description 12 months (the verdict stays in your analytics until account deletion) · billing records 7 years as tax law requires · data-export files 7 days.

Getting your data out

Dashboard → Settings → Data → Export. Available on every tier.

  • The export is a ZIP of JSON and CSV files plus a README listing exactly what’s included: your profile and account, experiences, skills, gaps, values, FAQ, AI instructions, voice sessions and transcripts, audit entries about you, consent records, subscriptions, support conversations, and more.
  • One export per 24 hours; the file is available for 7 days; download links are generated freshly each time you click, and only for you.
  • During the beta, exports are capped at 25 MB or 50,000 rows — beyond that, email privacy@profiledcareers.com for an operator-assisted export.
  • Stated honestly: a few record types that concern two people at once — for example the fit assessments recruiters have run against you — are not yet included in the self-serve export while the privacy balance for the other party is worked through. Ask privacy@ if you need them.

Deleting your account

Dashboard → Settings → Data → Delete my account. Self-serve, every tier.

  1. You type the word DELETE to confirm, and a confirmation email is sent.
  2. A 14-day grace window starts when that email arrives. During it you can cancel — from the same dashboard card, or with the single-use cancel link in the email.
  3. After the window, deletion of your personal data completes within 30 days. Some data may persist in encrypted backups for up to 90 days before being permanently purged.

What deletion removes: your profile and everything in it, voice transcripts and sessions, visitor chat records, your photo, support conversations, and your account itself. Your Stripe customer and sign-in identity are deleted with it.

What deliberately survives, de-identified: a hashed do-not-email entry (so Profiled never emails you again), pseudonymised security logs, a tombstone proving the erasure happened, and de-identified analytics.

Worth knowing before you click:

  • Deletion is blocked while you own an agency workspace (offboard it first) or hold a platform admin role — you’ll be told, not silently refused.
  • If you requested a data export in the last 24 hours, you’ll be reminded to download it first — it’s deleted with the account.
  • The newsletter list is separate from your account. Deleting your account doesn’t remove a newsletter subscription — unsubscribe via the link in any email, or ask support@profiledcareers.com.

Your rights, and who to contact

Access, correction, portability and deletion are all self-serve above. For anything you can’t do yourself — restriction, objection, or questions — email privacy@profiledcareers.com; Profiled aims to respond within 30 days.

The full documents live on the site: the Privacy Policy, Terms of Service, AI Disclosure Statement, and the sub-processors list (every provider that touches your data, and what for). Profiled is operated from Australia and the minimum age is 18. The service is in closed beta, offered by invitation.
